Security & Compliance Built Into Our Operations

Protecting patient and client information is a fundamental part of how Tumvora operates. Our security-focused approach includes managed devices, access controls, multi-factor authentication, workforce privacy and security training, and documented procedures for handling sensitive healthcare information. We work within approved client systems and established workflows to help minimize unnecessary access, storage, and exposure of protected health information.

Managed & Encrypted Devices | Access Controls & MFA | Workforce Security Training | Privacy & Security Procedures

Protecting patient and client information is fundamental to how Tumvora operates. Our security program is designed around administrative, physical, and technical safeguards that help protect sensitive healthcare information while our professionals support your operations.

We combine workforce training, managed technology, access controls, documented security procedures, and client-specific requirements to create a security-focused environment for healthcare administrative support.

Tumvora's privacy and security program is designed to support our responsibilities when handling protected health information on behalf of healthcare organizations. Our policies and procedures address appropriate use and disclosure of PHI, minimum necessary access, workforce responsibilities, security safeguards, incident response, and other applicable requirements.

When required for services involving PHI, Tumvora works with clients to establish appropriate Business Associate Agreements before PHI access begins.

Personnel accessing sensitive healthcare information use authorized devices subject to Tumvora's security requirements.

Our endpoint security approach includes controls such as:

Full-Disk Encryption:
Company-managed devices used for sensitive workflows are protected with encryption.

Endpoint Protection:
Security tools help detect and respond to malware and other endpoint threats.

Device Management:
Authorized devices are centrally managed to support security configuration, updates, and compliance requirements.

Automatic Screen Protection:
Devices are configured to protect information when workstations are unattended.

Access to healthcare information should be limited to the people who need it to perform authorized responsibilities.

Tumvora's approach includes:

Individual User Accounts
Personnel receive individually assigned credentials rather than shared accounts.

Multi-Factor Authentication
MFA is used where supported and required to strengthen account security.

Least-Privilege Access
Access is limited according to role, responsibility, and business need.

Access Removal
Access is reviewed and removed when personnel change assignments or leave Tumvora.

Tumvora's preferred operating model is to keep PHI within authorized client-controlled systems whenever operationally feasible.

Our professionals work directly within approved EHR/EMR, scheduling, payer, phone, and other client systems rather than unnecessarily downloading or transferring patient information into separate environments.

This approach helps reduce unnecessary copies, storage, and movement of sensitive information.

Security depends on people as well as technology.

Personnel are required to complete applicable privacy, security, cybersecurity, and remote-work training before receiving authorized access to sensitive healthcare information.

Training addresses areas such as:

  • HIPAA privacy and security principles

  • Protected health information

  • Minimum necessary access

  • Password and authentication security

  • Phishing and social engineering

  • Secure remote work

  • Patient confidentiality

  • Secure communications

  • Client-system security

  • Security incident reporting

Additional training may be required based on client systems, workflows, and responsibilities.

Tumvora integrates into approved client workflows rather than requiring healthcare organizations to replace their existing systems.

Where applicable, personnel may work within client-authorized:

  • EHR/EMR systems

  • Practice management systems

  • Scheduling platforms

  • Payer portals

  • Telephone systems

  • VPNs

  • Client email environments

  • Other approved healthcare applications

Access is provided according to client requirements and the responsibilities assigned to each individual.

Tumvora maintains documented procedures for identifying, reporting, evaluating, containing, and responding to suspected privacy and security incidents.

Personnel are instructed to immediately report events such as:

  • Lost or stolen equipment

  • Suspected phishing

  • Credential compromise

  • Unauthorized system access

  • Misdirected patient information

  • Malware

  • Suspected inappropriate PHI access

  • Other potential privacy or security incidents

Incidents are evaluated and escalated according to applicable contractual, regulatory, and client requirements.

Vendor & Technology Management

Technology and service providers are evaluated based on the nature of the services they provide and their potential access to sensitive information.

Where applicable, Tumvora considers:

  • PHI access

  • Security safeguards

  • Authentication

  • Encryption

  • Data storage

  • Data location

  • Incident response

  • Subcontractors

  • Business Associate Agreement requirements

Third-party technology is not automatically approved for PHI simply because it is commercially available.

Tumvora personnel may not enter PHI, patient information, client confidential information, credentials, medical records, screenshots, or other sensitive information into public or unauthorized artificial intelligence systems.

Any use of AI involving sensitive healthcare information requires appropriate review and authorization before use.

When Tumvora performs services that require a Business Associate Agreement, we work with the healthcare organization to establish appropriate contractual protections governing the use and safeguarding of PHI.

Tumvora also evaluates applicable downstream service providers and subcontractors when their services involve PHI.

  • Private work environments

  • Protection from unauthorized viewing

  • Secure device use

  • Patient-call privacy

  • Prohibition of unauthorized printing

  • Restrictions on personal devices and applications

  • Restrictions on removable storage

  • Appropriate internet connectivity

  • Protection of client credentials
